%26lt;p%26gt;NO DOUBLE DIPPING POLICY: There may be opportunities to still receive a refund even if the booking is non-refundable depending on the time of year. The spirit of this policy is to be lenient with our policies if we are not out the money. Outside of the holidays, guests can allow CVG to exercise best practices to re-sell the dates and refund a percentage proportional to the monies collected for the replacement booking, less 3rd party processing fees. It is in your best interest to notify us as soon as possible of your inability to come on the dates reserved to give us the best chance to resell the nights and get your money back or have the best chance of finding a vacancy to move your booking to. We can help advise you on the best option for you based on our experiences in booking traffic.
%26lt;p%26gt;CHANGING DATES: If the deadline for paying the balance of the stay has not yet passed, guests may be able to re-book for alternate dates within that same season. This is handled case by case and based on booking traffic and our abilities to resell the original dates - in other words, likely an option if you want to move the booking earlier but less likely if you wish to move it later giving us less time to sell the earlier dates. Not available during the Christmas Break. Not typically entertained when snow conditions are less favourable. Sorry! If you move your booking to a cheaper time period you may not be refunded the difference unless your original dates resell and the double dipping policy kicks in.
%26lt;p%26gt; %26lt;p%26gt;GUARANTEES
%26lt;p%26gt;AMENITIES: While we do our best to ensure all amenities advertised for the rental unit, (such as but not limited to WiFi, satellite/cable, hot tubs and saunas) are in working order during your stay, we cannot guarantee them.
%26lt;p%26gt;WEATHER: No refunds or credits for acts of Mother Nature with the exception of an all mountain closure due to lack of snow on both sides of the night booked. If portions of the mountain are open, as an example, Nordic is in operation but Alpine is not, or Green Acres is all that is open, then the booking goes forward as is. No refunds or credits of accommodations will be made for cancellations during Christmas Break. "Mountain closure" bookings go forward and, outside of holidays, credits for the difference between rents paid and off-season rates issued to be used against a future stay.
%26lt;p%26gt;PROPERTIES FOR SALE: If the unit you have chosen to book is for sale, it will be clearly delineated in your rental agreement. If it becomes listed after booking but before your stay, we will notify you. CVG is not responsible for any terms of sale out of our control. In the event that the unit you booked sells and the new owners will not be honouring your booking, CVG will do our best to help you find alternate accommodation so your vacation can go on as planned but we will not be responsible for any difference in price. %26lt;p%26gt;RESERVATION AND PAYMENT:
%26lt;p%26gt;BOOKING DEPOSIT: Large units - 25% winter and 10% summer; Small units - 50% winter and 10% summer.
%26lt;p%26gt;BALANCE DUE: This will depend on the time of year but at most will be 45 days in advance for large units and 30 days in advance for small units.
%26lt;p%26gt;DAMAGE DEPOSIT: A Refundable Damage Deposit by credit card pre-authorization or by PayPal invoice, of $500-$1500 depending on the unit you have rented, is required the week of the stay. Arrival instructions are sent following this step. Pre-auths not captured to pay for damages, will automatically expire 28 days after they are made. PayPal Damage Deposits may be held for up to one month following check-out but rarely does it take that long. In the unfortunate event there may be an issue, CONA engages the guest in discussions within the week of checkout. Feel free to give us a poke after 2 weeks if you do not see it refunded to your credit card so we may check into it. If there was an error on our part or an odd hold on PayPal's, it may not be caught by us until bookkeeping reconciliations at the end of the following month.
%26lt;p%26gt;SPECIAL TERMS FOR MULTI-UNIT BOOKINGS: Corporate or large family bookings of multiple large units will pay a 50% booking deposit instead of the usual 25% and it becomes non-refundable as per the timelines of the stiffest cancellation policy.
%26lt;p%26gt;GUESTS: YOU ARE RENTING SOMEONE'S HOME OR PERSONAL VACATION PROPERTY. Notify us of any increase or decrease in the size of your party. We require guest lists for emergency purposes. All units require that the person making the booking occupy the property for the duration of the stay and use their own credit card for any payments. Any reservation made under false pretenses will be subject to forfeiture of advance payment of rent and deposit and the party will not be permitted to check-in, or be required to leave the property.
%26lt;p%26gt;GUEST SAFETY: It is your responsibility to treat the unit as if it were your own during the stay including maintaining the unit for your own safety. Notify of us anything impacting your safety that you are incapable of taking care of, including but not limited to, hot tub water quality or overheating, discharging a fire extinguisher leaving you unprotected, and snow/ice in entryways.
%26lt;p%26gt;WHAT IS PROVIDED: All units are fully furnished with full kitchens except in the case of our Lodgerooms. Each unit will provide the same basics (such as bedding, towels, toilet paper, dish soap). Items such as food, personal toiletries (toothpaste, shampoo, body soap, etc) and spices and oils, will not be supplied or is at the discretion of the individual owner. For those units with hot tub/sauna, bring your own towels. Extras not provided. CVG cannot guarantee amenities provided by the owner/strata and offers no refunds or credits if they are not functional or are missing.
%26lt;p%26gt;CLEANING: Cleaning Services are provided upon check-out unless specifically arranged otherwise. Cancellation policies apply to the cost of cleaning. Upon departure, all items must be returned to their homes (including dishes, movies, remotes and furniture etc.). Departure Checklists are provided with the arrival instructions to help guide you through the check-out process. We estimate roughly 1 large bag of garbage per 3-night stay per large chalet (2 for the Mount Washington Guesthouse) and 1 kitchen catcher for small units. Condos and the Walk-in village provide disposal so please use the bins provided, if your stay is longer or you accumulate larger amounts of waste. Excess garbage cannot easily be managed and often requires a second trip so be mindful when opting for disposable dinnerware and other items that heavily increase the garbage load as it may be charged against your damage deposit if left to our housekeeping team to make multiple trips to manage.
%26lt;p%26gt;DAMAGE DEPOSITS: NORMAL WEAR AND TEAR - We expect the occasional, accidentally broken glassware, plate, ding in the wall, etc and consider it a cost of doing business. Please tell us if something breaks, so that we can replace or fix it promptly. NOISE - A charge of $250 (or whatever the current strata fine is) may be deducted from your Security Deposit if guests are asked to limit noise before 7am or after 11pm (as Owners may be fined this amount by their Stratas). PETS - The same method of charging your damage deposit applies to fines incurred for pets off leash or making disruptive noise resulting in a strata fine against the unit. Please abide by the house rules posted in strata common areas. SMOKING - All of CONA's units are NON-SMOKING. Any sign or smell of smoking in the unit or on balconies or entryways will result in immediate forfeiture of the entire Security Deposit so if you or one of your guests are a smoker, be smart at sealing your smokey clothes and not leaving them on textiles such as bedding or carpet and make sure to take your cigarettes for a long walk to air yourself out before returning to the unit. Dispose of your butts. EXCESSIVE CLEANING - We clean but you must put things away that you've moved as described above. There are a few exceptions to this rule - 1 - an obvious stain should be cleaned at the time of the incident BY YOU if it is likely to set permanently by the time the housekeeping crew arrives. Let us know immediately if this happens. An example is red wine on carpet. 2 - We expect to find the dishwasher still running upon departure and will empty that for you as part of housekeeping. 3 - There may some units where bedding for pull-out beds must be laundered prior to departure. Please read your arrival instructions and feel free to bring your own linens if you know you'll need these beds that are so rarely used and avoid that departure requirement. PARKING - A fee of $150 may be applied to your security deposit if rules aren't followed and in turn disrupt the stay of others in nearby units or require time an energy from CONA or its contractors. Excess vehicles must park at the base. A schedule for the ski bus can be found at www.mountwashington.ca. BILLING - Guests may be billed costs to remediate any smells, cleaning or damage that exceeds the Security Deposit.
%26lt;p%26gt;CHECK-IN/OUT AND KEY SERVICE: Your arrival email will clearly detail check in/out time for your individual property. A new code is provided at the start of each rental. Generally early/late check in/out times are not an option on same day turnovers but if granted, can only be done so the day prior to your stay. If you arrive early or leave late when it has either been denied or not preapproved, AND it impacts the cost of business whether it be compensation for the next guest who is delayed for c/i or overtime for housekeepers, those costs will be charged against your damage deposit. We do our best to accommodate requests but please respect our scheduling process and if you see our team awaiting entry and you are running behind, we know stuff happens, get out there and invite them in to start cleaning before you've vacated, to avoid disruption to the already very hectic turnover routines. Arrival Instructions specific to the unit are emailed when the refundable damage deposit payment or pre-auth has been finalized. Lost or missing keys will result in a minimum fee of $50 per set being deducted from the Security Deposit - total price dependent on the urgency of the situation and whether or not a locksmith need be hired to resolve.
%26lt;p%26gt;PARKING: Ah... we love snow... but it sure presents us with parking struggles! Follow parking instructions in your arrival Instructions to the letter. Units where parking has been a chronic issue have had their name changed to include the number of spaces possible so that you are made aware of the limitations before booking. The number of vehicles is based on medium sized SUV's so if you have multiple large trucks coming with your group, you may not have as many spaces as we've projected. Contact us upon receiving your booking confirmation so we can recommend alternate accommodation or solutions, if this is a problem for your group. PARKING ON ROADWAYS IS PROHIBITED. Parking for the Alpine Village (also known as the Walk-in Village if you have booked a unit within this Strata) is by parking registration your license plates must be provided before 10 am on the day of check-in to be registered.
%26lt;p%26gt;SKI AND BIKE STORAGE: Most buildings provide some level of gear storage. UNDER NO CIRCUMSTANCES IS EQUIPMENT TO ENTER ANY UNIT NOR CAN WAXING BE DONE ANYWHERE BUT IN DESIGNATED LOCATION, IF PROVIDED. If gear storage is not available, guests will be responsible for locking these items in or on their vehicles. Owners, CONA, the building stratas, etc, WILL NOT be responsible for any lost or stolen equipment.
%26lt;p%26gt;HOT TUB and SAUNA and WIFI: Individual for each unit - please see the amenities specific to your unit on our website. Please respect all posted rules. We cannot guarantee access, safety and/or cleanliness of communal facilities at any time. We cannot guarantee functionality of any amenities nor are refunds or credits issued for such incidences. Abuse of privileges may result in forfeiture of your rental and/or a fine from your Security Deposit. Hot tubs/Saunas/pools may be shut down for the off-season and summer months. Free WIFI in the Alpine or Raven Lodges if not available in your unit.
%26lt;p%26gt;PETS: Most places do not allow pets but for those that do, approval for dogs only is case-by-case and for an extra fee. No other animals or cats allowed. Dogs must be requested or housekeepers may apply an excess cleaning fine to you damage deposit. If the property allows dogs, there should be a booking option during the reservation process to make payment. If bringing a dog, it is up to the guest to ensure the pet is registered and the fee applied. Service animals are free but waiving the pet fee is up to the guest to request by email. HELP US KEEP SOME OF OUR UNITS DOG FRIENDLY BY RESPECTING THE RULES: No dogs on furniture. Never allow dogs on decks (or humans prone to peeing outside for that matter!) Dogs must be crated when left unattended. Your DDEP may be increased for the dog and extra cleaning fees, including yellow snow, charged against the DDEP. Always exit with your dog when letting him/her out to do business and clean up with your own bags. Bury the yellow snow as it happens. No barking - this is not to say that the odd playful bark is a problem. But if your dog might bark at noises, especially when left unattended in their crate in a strange place, then you must be prepared for a noise fine against your damage deposit. - $250 per complaint and may be subject to increase without notice if stratas have increased the fine without notifying us. This is obviously a concern for multi-unit properties where the enjoyment of your neighbours may be disrupted and less of a concern when renting a whole chalet.
%26lt;p%26gt; %26lt;p%26gt;PLATFORMS
%26lt;p%26gt;VRBO: Charges on your credit card are applied both by VRBO and by CONA - the VRBO Guest Fees will be charged immediately by VRBO and Cona will charge your card for the deposit after you sign the rental agreement with scheduled charges outlined in your emails. At the time of writing, our integration with VRBO has been experiencing difficulties in the programming of applying the taxes on cleaning fees. This will account for the difference between what you see on your VRBO account booking financials and the total charged by both Cona and VRBO for that booking. Booking options do not integrate with our software and are selected or added directly in your booking on our reservation system AFTER completing your booking on VRBO. This may include things like Pets and License plate registrations or Pack and Plays for our little humans on your guest list. While most options are offered at no charge, notably, pets will incur a fee that will not be displayed on your VRBO booking. Upon manual confirmation on our end, you'll receive a confirmation directly from us from an auto-reply email address including our "hotel ID: 1859" and "Webrezpro" in the address. We don't control refunds of VRBO fees paid directly to the platform if you cancel.
%26lt;p%26gt;AIRBNB: All payments are made through Airbnb. You will receive no charges by us. Any booking options chosen after the time of booking will be managed through the Resolution Centre. Please refer to your payment schedule on your Airbnb account. We do not receive our host payout until 8-10 days after check-in so if you are reviewing your statement on our reservation system before this time, it may not show your payments as it will only be posted to your booking for the date the funds are due in our account and only once we receive notification that Airbnb has released the funds. Airbnb may differ in policy, from what you see here, because of limited pre-set options available on the respective sites when building the listing. If the policy of the listing platform is contradicting a policy below, the listing platform policy takes precedent. If a policy below is not mentioned on the listing platform, then these policies supersede. We unfortunately cannot offer our NO-DOUBLE-DIPPING Policy to Airbnb customers. Any Airbnb fees paid by the host and not refunded by Airbnb, are non-refundable.
